CRM Implementation

Recruitment CRM implementation and migration, done properly

Your last migration was chaos, or you're dreading the next one. Most recruitment CRM migrations go wrong for the same reasons: the data was never cleaned up before it moved, nobody owned the project day to day, and the new system was configured to copy the old one's problems. We project manage the whole implementation so that doesn't happen.

    Signs you need this

    • A previous migration ran long and you're still finding data issues months later
    • You have one shot at this and can't afford a bad go-live
    • Nobody has the capacity to project manage it alongside their day job
    • You expect resistance from consultants and want the configuration to fit how they actually work
    • Your current CRM can't scale, but switching feels too risky

    What we take on

We project manage the entire implementation: workflow review, data mapping, validation, configuration of the new system and making sure the migration runs as smoothly as possible. We work closely with your CRM vendor and your internal team throughout, so everyone is aligned on scope, responsibilities and timing.

    How a migration runs

A typical project takes 12 to 14 weeks. Complexity moves that either way, and we set realistic expectations with you from the start.

Workflow review and discovery. We review how your consultants work today, along with your fields, integrations and reporting, and agree what the new system needs to do.

Data mapping. We map your existing data to the new structure and agree how each field, tag and record type will move.

Configuration and build. The new system is configured for how you should work, not as a copy of how you worked.

Validation and migration. Test migrations are run and the results checked before anything goes live, so issues surface early and not after cutover.

    Your data before it moves

A migration is the cheapest point at which to fix your data and the most expensive point at which to ignore it. We review what you hold, map it to the new structure and flag what needs attention: duplicates, inconsistent fields and tags that don't translate. Anything that looks redundant goes to your team to review and decide on. We don't delete records.

    Platforms we work across

We implement and migrate across Vincere, Bullhorn, Loxo, Mercury, Spott, Atlas, Recruiter Flow and Recruit CRM. If you haven't chosen a platform yet, that decision is worth making first, and it sits within our RecTech Consultancy service.

    What we don't do

We don't provide end-user training or ongoing support. Those sit with your CRM vendor or your own team.

    Who this is for

Recruitment agencies with roughly 5 to 80 consultants, moving CRM, implementing one for the first time or fixing an implementation that never landed.

    Experience

Around 20 years in recruitment, including running and selling an agency, and over 100 CRM projects. That means we know how consultants actually use these systems, and where migrations tend to go wrong.

    What comes next

A clean migration usually shows what to fix next, and it's usually the data itself. That's where Data Intelligence picks up.

    Frequently asked questions

How long does a recruitment CRM migration take?

On average 12 to 14 weeks, depending on complexity. Some projects run shorter and some run longer, and we're clear about realistic timings before we start.

Which CRM should we move to?

It depends on your workflow, size, integrations and budget. We work across all the main recruitment platforms and can advise before you commit to anything.

Will we lose data in the migration?

The aim is that nothing is lost. We validate test migrations before go-live, and we never delete records.

Do you work with our CRM vendor?

Yes. We work closely with the vendor and your internal team so everyone is aligned throughout.

Do you provide training or support?

No. Our work is the implementation: mapping, validation, configuration and migration. Training and ongoing support sit with your CRM vendor or your team.
